How does Tallymoth connect to my accounting tool?

Tallymoth currently connects through a CSV export from the accounting tool you already use. Export a UTF-8 CSV, then import it with these headers: customer, invoice_number, issued_date, due_date, amount, and status. The file is previewed in your browser and validated on the server before anything is written. A direct accounting-system connector is not part of the current shipped product.

Does Tallymoth connect directly to my inbox or email provider?

Not currently. Tallymoth prepares a personalized reminder draft, then lets you copy it or open it in your email client through a mailto handoff. The message is not sent from Tallymoth, and there is no direct inbox or outbound email-provider connector in the current product.

What happens when I confirm an invoice import?

Accepted Answer

Each row must match exactly one existing customer in your workspace by name. Invalid rows stop the import; duplicate invoice numbers within the file or an existing invoice number return a conflict, and nothing is partially imported. Valid invoices and their matched customers are linked in one transaction. An eligible overdue invoice also receives a pending reminder draft during that transaction, while paid invoices do not create a reminder draft.

What customer, invoice, and reminder data does Tallymoth keep?

Tallymoth keeps the records needed for your invoice follow-up workflow in your authenticated workspace: customer name and email, invoice number, amount and currency, issue and due dates, payment status and timestamp, reminder drafts, and the workflow details needed to review reminders and cases.

Who can see my customer and invoice data?

Accepted Answer

Your customer, invoice, reminder, sequence, and case data stays private to your signed-in account and is scoped to your workspace through authenticated APIs. Tallymoth does not expose a public invoice directory or silently share those records with other accounts.

When does Tallymoth create a reminder draft?

Accepted Answer

After an invoice import passes validation, Tallymoth checks each invoice status and due date. An eligible overdue invoice gets a pending draft with its customer and invoice context. Draft generation happens inside the import transaction, does not require an inbox connector, and does not send an outbound email.

What does the reminder wording sound like?

Accepted Answer

You can choose a friendly, neutral, or firm tone. A friendly example is: “Hi {{customer}}, just checking in on {{invoice_number}} for {{amount}}. It was due on {{due_date}}. Let me know if you need anything from my side.” A neutral example is: “Hello {{customer}}, this is a reminder that {{invoice_number}} for {{amount}} was due on {{due_date}}. Please let us know when we can expect payment.” A firm example is: “Hello {{customer}}, {{invoice_number}} for {{amount}} remains unpaid since {{due_date}}. Please arrange payment or contact us today with an update.” These are drafts for your review, not automatic sends.

Can Tallymoth send a reminder without my approval?

Accepted Answer

No. Every reminder must be approved before it can be marked as sent. In the review queue, you can inspect the customer and invoice context, edit the subject or body, skip the draft, approve it, choose a later send time, or open it in your email client. Tallymoth records those review decisions.

When does a reminder return to a human for review?

Accepted Answer

A sequence step marked escalateToHuman returns to you for review instead of being auto-resolved or sent. It keeps a sensitive step visible in the review workflow so you can decide what happens next.

What happens when a customer disputes an invoice?

Accepted Answer

A disputed invoice returns to you as a dispute case with the invoice and customer context attached. Tallymoth surfaces the handoff for review rather than auto-resolving the dispute or sending the next reminder.

What happens when an invoice is already paid?

Accepted Answer

Paid status takes precedence over overdue or open. Paid imports receive a paid timestamp, and Tallymoth does not create a reminder draft for paid invoices.
